What can a meeting observer do?

An overview of the meeting observer role: what they can see, what they can do, and how they're added.

A meeting observer is someone the host adds to a meeting to watch, listen, or give feedback. Observers are typically trainers, mentors, or coaches with access to review someone else's meetings.

To act as an observer, you need a Mentor/Supervisor role in your organisation's Ovida workspace. Your organisation admin manages this.

What observers can do

Join a live meeting

Observers join silently by default, with their camera off and microphone muted. The 1:1 meeting can continue without interruption. Both meeting participants are notified when an observer joins or leaves.

This is useful for trainers who want to move between several active meetings (for example, students practising in parallel) without disrupting them.

An observer can switch to live mode at any time, turning on their camera and microphone to give in-the-moment feedback. They can then return to silent mode when they're done.

Review meetings and give feedback

Observers can open the Meeting Review page for any meeting they've been added to. From there they can:

  • See the meeting's metrics and analytics

  • Create and comment on moments

  • Leave detailed feedback in the Feedback tab

A few things to know

  • There's no limit on how many observers a meeting can have.

  • Observers can't add other observers. Only the meeting host, a Team Owner, or a Team Admin can do that.

  • Both meeting participants are notified whenever an observer is added or removed.
