How do I record an in-person conversation in Ovida?

If you're meeting someone in person, you can use Ovida as a voice recorder on a single device. The conversation is captured, processed, and analysed by Ovida's AI in the same way as a video meeting — the other person doesn't need to join a room or use their own device.
Before you start
You'll need:
The guest's email address — either from your team list or typed in manually
The guest's verbal consent to be recorded — this is required, and you'll confirm it on the setup screen
A device with a working microphone — laptop or mobile
Recordings can run for up to 2 hours. You'll see a warning when 2 minutes remain.
How to start a recording
From the Home page or Meeting page, click + Meeting.
Select Live Audio Recording.
On the setup screen:
Choose or enter the guest's email.
Select the team the session belongs to.
Select your microphone.
Tick the consent confirmation: "I confirm that the other participant has consented to this recording."
Click Start Recording.
As soon as you click Start Recording, two things happen:
The recording begins, with a visual indicator and sound to confirm it's active.
An automated email is sent to the guest letting them know the session is being recorded.
You don't need to wait for the guest to confirm — recording continues straight away.
During the recording
You'll see an audio-only meeting interface with:
A timer showing how long you've been recording
Pause, Resume, Mute, and End Meeting controls
A visual audio signal that responds to sound in the room
Keep the Ovida tab or app in the foreground. If you switch apps or turn the screen off, the microphone may stop capturing audio. On laptop, Ovida keeps your screen awake automatically.
When you're done
Click End Meeting.
You'll be taken to the same review flow as an uploaded audio file, where you can confirm participant details before the recording is processed.
Once processed, both you and the guest can access the recording and its AI analysis.
A few things to know
The guest controls their data. They receive an email at the start of the recording with a link to log in and manage or delete the recording.
Consent is mandatory. The checkbox on the setup screen can't be skipped. Recording without the other person's consent is a breach of Ovida's terms.
Recordings can't be renamed. This is consistent with other meeting types in Ovida.
